Director of Human Resources

REPORTS TO: Chief Financial Officer

Position Summary:

Develop, implement and coordinate human resources policies and programs for the St. Louis Symphony (“SLS”).  Major areas covered are employment, orientation, employee relations, compensation, benefits and employee services.  Assist and advise senior management on human resources issues.

Responsibilities include the following::

  • Research, formulate, and recommend human resources objectives, policies and procedures for SLS.
  • Identify legal requirements and government reporting regulations affecting Human Resource functions such as OSHA, EEO, ERISA, Wage and Hour laws.  Monitor exposure of objectives for the SLS.  Direct the preparation of information requested or required for compliance.
  • Maintain records and prepares annual government reports.
  • Participate with senior management in SLS’s human resource planning processes to evaluate and implement staffing and wage structures and effective job designs.
  • Establish recruiting practices and procedures.  Post internal job openings, place external advertisement for open staff positions and assist managers in recruiting including, but not limited to, conducting screening interviews.
  • Develop, implement and maintain staff training and professional development opportunities (including employee orientation) which address the SLS’s needs.  Identify outside training resources as necessary.
  • Evaluate, recommend and implement all employee benefit programs and services including but not limited to advising staff/musicians concerning benefits problems.
  • Work with staff and managers to resolve employment-related issues. 
  • Determine and recommend specific practices necessary to establish and maintain a positive employer-employee environment and promote a high level of employee morale.
  • Maintain centralized staff and musician human resources records, document changes, and notify payroll and insurance companies.
  • Implement and maintain an ongoing performance appraisal program.
  • Develop, implement and maintain various pension plans, including appropriate governance.
  • Supervise the Receptionist/HR Clerk and the HR & Benefits Specialist.
  • Prepare and maintain annual benefits and salary budgets.
  • Develop, implement and maintain employee Handbook (including Administrative Staff and Musicians).

Position Requires::

  • Equivalent to a complete four-year college or university education, preferably in human resources.
  • Superior writing, communication and presentation skills.
  • Proficient knowledge of Microsoft Office; including, Word, Excel, Access, & Outlook
  • Knowledge of classical music and the symphony field preferred.  An appreciation for classical music required.

ANNOUNCING OPEN STAFF POSITION

Payroll/Accounts Payable Associate (Orchestra)

REPORTS TO: Controller

Position Summary:

Perform a variety of diversified accounting functions as they relate to preparing and imputing payroll; reconciling automated output to source data; preparing reports and journals, balancing general or subsidiary ledgers; processing A/P invoices and cash disbursements in accordance with standard procedures for Saint Louis Symphony Orchestra as assigned. Contact other departments and/or outside agencies to resolve common problems.

Responsibilities include the following::

  • Prepare payroll data including benefits via Ceridian Web, dues, retirement and long term disability information as needed; pass payroll data on to agency and/or personnel as needed.
  • Reconcile automated output to source data.
  • Prepare related reports and journals; Posts journals and balances general or subsidiary ledgers.
  • Perform accounts payable duties for SVA.  Clear paid SVA checks in AP system.
  • Verify accuracy of information received; reconcile statements and checks; record disbursements, expenses and other payments.
  • Prepare various reports regarding specific accounts and journal entries. Code documents in accordance with account listing; maintain Accounting Department files.
  • Respond to staff or vendor inquires or requests for information.
  • Prepare daily deposits and maintain filing for Ticketing, Development, POS, SVA, and miscellaneous cash receipts.
  • Generate and distribute correspondence as needed by Accounting Department or auditors.
  • Process new instrument loans and update as needed.
  • Prepare various annual letters to musicians for salary, pension interest, etc.

Position Requires::

  • Knowledge of processing payrolls, cash receipts, and other accounting procedures requiring advanced use of office equipment including personal computers and software.  Equivalent to high school diplomas plus additional broad specialized training equal to two years of college.
  • 3+ Years routine accounting experience required using specific software and payroll service bureau to obtain sufficient background to perform duties of the position.
  • Ability to perform diversified duties involving use of various procedure and application to clearly prescribed standard practices.
  • Ability to plan and arrange a significant portion of own work referring questionable cases to supervisor or others.
  • Ability to work with confidential data.
  • Requires a high degree of accuracy in performance of duties.

ANNOUNCING OPEN STAFF POSITION

Head Usher

REPORTS TO: Front of House Manager

Position Summary:

The Head Usher is responsible for overseeing the usher staff during events and resolving patron issues during concerts at Powell Hall.  Duties include overseeing Usher daily attendance and payroll, assigning positions the day of the event, enforcing usher policies and resolving issues, and resolving patron issues, including ticketing issues, complaints, and crowd control.

The Head Usher is also expected to step in at any time to perform usher duties, including taking tickets, answering questions, showing patrons to their seats, handing out programs, assisting patrons with limited mobility, enforcing St. Louis Symphony audience policies, and ensuring the safety of patrons in the event of an emergency. 

This position is one of two Head Ushers total.  This position is considered the secondary Head Usher, and will function as an Usher Captain during events when the primary Head Usher is also working.  THIS IS A PART-TIME POSITION AND REQUIRES A FLEXIBLE SCHEDULE INCLUDING THE ABILITY TO WORK DAYTIME WEEKDAY, EVENING, AND WEEKEND EVENTS IS A MUST.

$13.88 per hour (Head Usher, average of 5 hours per shift), $11.53 per hour (Captain, average of 4.5 hours per shift)
Average number of shifts total per week is 3, Season runs from September through June

Responsibilities include the following::

  • Oversee usher clock in/out and general attendance.
  • Assign usher positions the day of the event.
  • Enforce usher policies.
  • Train new ushers.
  • Complete usher payroll at the end of each event.
  • Resolve patron complaints.
  • Oversee crowd control; make staffing adjustments as needed.
  • Resolve ticketing issues.
  • In case of an emergency, help people leave in a calm and orderly manner.
  • Greet guests in a timely and professional manner.
  • Perform other duties as assigned.  

Position Requires::

  • High School Graduate or equivalent.
  • Minimum two years supervisory experience.  On the job training provided.
  • Must have a desire to work with general public.
  • Customer service experience essential.
  • An appreciation for live music performance is desired, and an appreciation for orchestral music is preferred.
  • Demonstrated ability to deliver superior customer service (flexibility, patience, and calm demeanor). 
  • Strong leadership skills with demonstrated ability to train, motivate and develop staff and foster a team environment.
  • Excellent communication skills.

ANNOUNCING OPEN STAFF POSITION

RESIDENT CONDUCTOR of the ST. LOUIS SYMPHONY and
MUSIC DIRECTOR of the
ST. LOUIS SYMPHONY YOUTH ORCHESTRA

The St. Louis Symphony is seeking to appoint a Resident Conductor to commence at the start of the 2012/13 season. The Resident Conductor will also hold the title of Music Director of the St. Louis Symphony Youth Orchestra, and will collaborate productively with all engaged in creating the closest ties between musicians and audiences of today and the future, reaching out to the wider St. Louis community and beyond.

Conducting Responsibilities: The Resident Conductor of the St. Louis Symphony Orchestra will be in residence for a minimum of twenty-six (26) weeks each season, to be scheduled by mutual agreement. Activities will include conducting all St. Louis Symphony Family Concerts, as well as Kinder Konzerts, Young People’s Concerts and Young Adult Concerts; and St. Louis Symphony Community Concerts, in Powell Hall and throughout the region. Other conducting assignments may include Holiday, Live at Powell Hall, and Subscription Concerts, as needed. The Resident Conductor will also serve as Music Director of the St. Louis Symphony Youth Orchestra, responsible for final decision on selection of players, for conducting weekly rehearsals, three concerts each season, and run-outs.

Administrative and Other Responsibilities: In addition to conducting duties, the Resident Conductor will provide artistic support to the Music Director of the St. Louis Symphony, as well as to guest conductors, in the role of cover conductor. The Resident Conductor will provide administrative support to orchestra management staff and in relevant scheduling and programming discussions, especially with the External Affairs Department Staff, as well as providing artistic vision for all Youth Orchestra activities, as the representative for the Youth Orchestra to parents, local educators, the press and other constituencies.

Term of Agreement and Renewal Options: The term of the agreement shall be for an initial period of two years, commencing no later than September 1, 2012, with the option for two one-year renewal periods.

Compensation and Fringe Benefits: The Resident Conductor shall receive a full annual base salary and shall be entitled to receive the standard benefit package of the St. Louis Symphony Orchestra, with regard to health coverage and other insurance benefits. When not officially required to be in St. Louis, the Resident Conductor will be free to accept guest conducting engagements with other orchestras.

Audition Dates: Conductors selected for audition will be invited to conduct in St. Louis on Wednesday, March 28, 2012.

Assistant Controller

REPORTS TO: Controller

Position Summary:

Responsible for accounting management of all gifts, including permanently and temporarily restricted records, as well as those impacting the Endowment Trust and the collected endowment.  Prepare 990 tax returns for SLSO and the Endowment Trust.  Review voucher checks, maintain the receivables for Groupon and the Box Office, and reconcile balance sheet accounts, as part of the preparation of audit schedules for the outside auditors.  Review all cash receipts for proper G/L distribution and accuracy of deposits.  Backup the controller in the oversight of daily functions such as accounts payable, gift entry, and other Accounting Department activities.

Responsibilities include the following::

  • Maintain permanently restricted gift schedule and supporting documents.
  • Review all gifts for accuracy, proper designation and support prior to entry.
  • Respond to internal and external inquiries regarding accounting record or procedures.
  • Reconcile balance sheet accounts on a monthly basis and initiate corrections needed.
  • Maintain collected endowment schedule and balance to investment section of monthly financials
  • Reconcile Endowment Trust account.
  • Prepare monthly development entry, reconcile balance differences.
  • Process billings for receptions & hall rentals, including settlement of such events.
  • Prepare monthly investment entry and update Unit Accounting file.
  • Review voucher checks for accuracy, proper approval and maintain control log of checks issued, transmit SecurePay file to Commerce and monitor Positive Pay activity.
  • Reconcile SLSO Operating bank account, including daily analysis of bank activity.
  • Prepare 990 Tax return for SLSO and Endowment trust.
  • Maintain temporarily restricted gift schedule, prepare releases monthly, compare with budget, and tie to GL.
  • Backup the controller in the oversight of Accounting Department activities.
  • Daily reconciliation of Transcend to Tessitura and merchant services accounts.
  • Monitor balance the Bulk mail account, including monthly journal entry and corrections of coding and mail house activity.
  • Responsible for recording and reconciling all GIK, including AA, Krispy Kreme, etc.
  • Prepare monthly ticket entries, including reconciling all ticketing balance sheet and income accounts.
  • Daily review of all cash receipts’ entries and deposits.
  • Reconcile sales of Vonk and Adams CDs, for both Box Office and Boutique, including sales and payment from Pentatone, in preparation for payment or royalties to musicians.

Position Requires::

  • Bachelors degree in Accounting or Finance.
  • 3+ years advanced accounting experience, preferably in a not-for-profit environment.
  • Ability to apply common sense understanding to carry out oral or written instructions.
  • Ability to prepare reports using prescribed format.
  • Under general direction, has ability to perform a wide variety of duties requiring considerable judgment.
  • Ability to handle full and complete access to confidential data.

Assistant Orchestra Personnel Manager

REPORTS TO: Orchestra Personnel Manager

Position Summary:

Under general direction and in accordance with established procedures and source documents, assist the Orchestra Personnel Manager ensuring compliance with all union contracts, acting as liaison between management and Orchestra, administering Orchestra auditions, serving as a resource and counsel for Musicians.  This is a part-time salaried position.

Responsibilities include the following::

  • Work personnel duty for Orchestra services as assigned and during split orchestra weeks, including all weeks of Opera season.  Ensure Orchestra working conditions and activities are in compliance with the provisions of all Orchestra agreements, including Master Agreement and Side Agreements between the SLSO and Local-2-197 AFM, local and national electronic media agreements.
  • Communicate with conductors regarding work rules, illnesses, and related issues.  Communicate last minute personnel changes to stage crew.
  • Document attendance in accordance with established procedures.
  • Resolve routine orchestra personnel problems in a consistent and fair manner in consultation with the Orchestra Personnel Manager.
  • Assist in communications between Orchestra Musicians and Management by performing duties such as distributing musician seating, weekly schedules, and travel information, and by collecting materials from musicians such as leave requests, archival recording orders, and travel forms.
  • Assist Orchestra Personnel Manager with preparation for and execution of Orchestra auditions, including: creation of audition advertisement and applicant materials; serving as primary contact for correspondence with applicants; processing all resumes, deposits and application forms; working for all audition days.
  • Assist in coordinating Orchestra payroll.
  • Process reimbursements for substitute musician expenses, invoices for orchestra-personnel related expenses, and make orchestra-personnel deposits.
  • Assist Orchestra Personnel Manager on all media services and related activities, such as processing of media payments to musicians and distribution of complimentary media.
  • Travel with Orchestra while on tours and services outside of Powell Symphony Hall as assigned; in addition to regular duties, assist in supervising Orchestra related activities and travel.
  • Serve as liaison between management, staff, Music Director, guest conductors, Orchestra members and committees.
  • Attend operations department, production, and other meetings as required.

Position Requires::

  • 3+ Years experience with a Symphony Orchestra to obtain sufficient background to perform duties of the position.
  • Requires broad understanding of the classical music discipline involving extensive theoretical knowledge including stage protocol.  Equivalent to a complete four-year college or university education in Music or performing arts. 
  • Experience working with a collective bargaining agreement and extensive music background mandatory.
  • Under general direction, the ability to work from objectives with little functional guidance.
  • Ability to work with and maintain confidential data.
  • Excellent communication skills, both written and verbal, with ability to maintain and promote a positive work atmosphere.
  • Ability to communicate with internal and external contacts with a high degree of diplomacy, tact, and in a calm and confident manner.
  • Ability to perform a wide range of duties requiring knowledge of related organizational policies, procedures, and Musicians’ collective bargaining agreement.
  • Strong problem solving skills and ability to perform detail-intensive projects.
  • Work schedule negotiable, but must be available to work during concerts and rehearsals on weekends and evenings.

Development Department Intern

REPORTS TO: Senior Giving Officer

Position Summary:

The St. Louis Symphony’s Development Department Intern will provide support for the fundraising efforts of the organization, including but not limited to donor relations, prospect research, and fundraising events and communications.  This is an unpaid internship opportunity.

Essential Functions

  • Research lists of donors and enter specific information into donor database.
  • Enter prospect information into the donor database.
  • Vet donor files to remove duplicate information and provide chronological compilation.
  • Review daily gift batch reports and alert appropriate development officers of their assigned donors’ gifts.
  • Call lower-level ($100-$599) donors on the daily gift batch reports to thank for recent gifts.
  • Assist in the creation of fundraising communications through interviews and photos, highlighting donor profiles and musician participation in the Community Partnership program.  
  • Assist with events and meetings, including pre-event, day-of and follow-up.

Position Requires::

  • 20 hours per week, hours negotiable
  • Minimum 2 years college education.
  • Proficient knowledge of the use of Microsoft Word, Excel, and Outlook.
  • Must be pursuing or have recently received a college degree, preferably in the fields of non-profit management or music.

The St. Louis Symphony is offering an excellent opportunity within our Operations department for part-time Ushers.  The part-time Usher is responsible for seating patrons inside the auditorium, preparing and distributing programs, providing basic information about the facilities, assisting patrons with disabilities, taking tickets, and overseeing the general safety of patrons.  Applicants must be available to work Friday/Saturday evenings and Sunday afternoons.  Typical shifts are 6:15-10:30 on Fridays/Saturdays and 1:15-5:30 on Sundays.  Starting pay for this position is $38.00 per shift.

The Position Requires:

  • Clean criminal record (background check will be completed).
  • Minimum 2 years customer service, retail, or other experience working with the public and/or large groups.

Campus Coordinator

REPORTS TO: Group Sales Manager

Position Summary:

The St. Louis Symphony’s Marketing Departments is seeking students to fill Campus Coordinator positions on local college campuses.  The Campus Coordinators will work in cooperation with the STL Symphony’s Group Sales programs to improve awareness of the STL Symphony on college campuses and increase student attendance at STL Symphony performances.

The Position Requires:

  • Coordinate and staff 1 Soundcheck tabling opportunity (at the start of each semester) at a key campus gathering location, which will involve distributing STL Symphony information, collecting email addresses and selling tickets/ticket packages.
  • Coordinate and bring groups (minimum of 20) to STL Symphony performances one time per month.
  • Facilitate one special event with STL Symphony musicians on-campus one time per year (coordinated with the CP department).
  • Facilitate on-campus postering, word-of-mouth opportunities and social networking (i.e., Twitter/Facebook) for STL Symphony performances.

Compensation:

  • $100 per group of 20 students brought to Powell Hall

BARTENDER
(Part Time)

The St. Louis Symphony is offering an excellent opportunity within our Operations department for part-time Bartenders.  The part-time Bartender is responsible for serving light refreshments (drinks and ready-to-serve food) and enhancing patrons’ overall experience within the elegant atmosphere of Powell Hall.  Applicants must be available to work Friday/Saturday evenings and Sunday afternoons.  Typical shifts are 5:30pm-9:30pm on Fridays/Saturdays and 12:30pm-4:30pm on Sundays.  Starting pay for this position is $45.00 per shift, plus tips.

The Position Requires:

  • Clean criminal record (background check will be completed).
  • Regular availability on Friday/Saturday nights and Sunday afternoons (occasional weekday night shifts may be available)
  • Minimum 2 years bartending experience required; responsible serving/food safety certification and Point of Sale training highly preferred.
